Bid Coordinator - Houston, Full time

Job description:

The bid coordinator will work within all of our business segments to support business development and tendering process efforts. Requirements:

  • Lead tendering process throughout the business segments
  • Ensure the business is properly supported
  • Proposals – Lead proposal process from start to finish for respective business
  • Ensure quality of bids

More detailed responsibilities:

Responsible for leading Ocean Infinity ’s responses to business development opportunities, including initial responses to client procurement websites, requests for information, solicitation of interests, pre-qualifications, and requests for proposals. Proposal coordination responsibilities include, but are not limited to, the following:

  • Review the opportunity and tender requirements and ensure the key elements of the proposal / tender requirements are clearly outlined for Business Development Group review
  • Lead proposal kick-off and review meetings
  • Develop sections of the proposal and expedite others at all levels of management and organization in the development of information required for the proposal
  • Lead proposal data entry, formatting, editing, reviews, reproduction and delivery
  • Interface with key participants, including clients, to execute the proposal process
  • Coordinate proposal resource material (resumes, presentations, boilerplate, etc.)
  • Ensure overall compliance with applicable client requests and requirements prior to submitting the bid.
  • Follow proposal procedures and guidelines (Corporate and BU-specific)
  • Proposal Management Reviews: Facilitate technical and commercial proposal reviews and lead team reviews, prepare the relevant documentation for those reviews as necessary

Skills, qualifications and experience:

  • Minimum five years working with proposals
  • Oil and gas industry experience preferred
  • Technical experience (not required, but helpful)

Education:

B.S. or B.A. in Business, Marketing, Communications, Journalism, or related majors preferred

Skills:

  • Strong communication (written and verbal), interpersonal and presentation skills
  • Ability to lead proposal meetings
  • Ability to work with individuals of all levels of management and expediting them when deliverables are due or overdue for the proposal
  • Strong organizational, coordination, and multi-task skills
  • Good understanding and implementation of industry best practices for proposals
  • Strong proofreading, editing and business software skills (style, format, grammar, etc.)
